Booked, confirmed, and still an empty chair
A missed appointment costs you twice: the fee you don't collect, and the slot another client could have had.
Booked, then not there
People book, tell us they’re coming, and then just don’t turn up.
Reminders that barely help
We already send reminders, but they haven’t made much difference.
A fee feels risky
I’d like to charge for no-shows, but I’m worried it will put good clients off.
Late gaps stay empty
When someone cancels at the last minute, the slot just sits there unsold.
No real number
I don’t actually know our no-show rate, or what it costs us each month.
WhatsApp surprises
Our WhatsApp reminders got classed as marketing, or cost more than we expected.
was the average no-show rate across 105 studies of medical appointments. The two most common predictors were a long wait between booking and visit, and a history of missing before.

The method, every message, and a tracker that shows what worked
Every number in the toolkit comes from a source we opened and linked, and advice that comes from practice rather than trials is labelled as such.
The toolkit (PDF, 30 pages)
11 chapters on measuring, preventing and refilling missed appointments, with 2 worksheets, 4 checklists and 7 copy-ready templates.
Message pack (DOCX, 38 templates)
Confirmations, 9 reminders by timing and channel, two-way replies, waitlist, deposit and policy wording in 3 tones, no-show recovery and 3 staff phone scripts.
No-show tracker (XLSX, 7 tabs)
A 600-row appointment log, a dashboard by service, weekday, lead time and channel, a cost calculator, a before-after test and an overbooking check.
Chapter by chapter
- What the research says about no-shows
- Measure your real no-show rate and what it costs
- Make the booking stick
- Time your reminders
- Choose the right channel
- Make confirming and rescheduling one tap
- Set policies, deposits and fees that keep clients
- Refill the slots that still go empty
- Recover the client after a no-show
- Plan for the special cases
- Run it every month
Real pages from the toolkit
The free sample covers chapter 1 on what the research shows, and the start of chapter 2, where you put a dollar figure on missed slots.
What you will have in place after four weeks
- Your real no-show, late-cancel and lost-slot rates, and what they cost you each month
- A reminder sequence matched to how far ahead people book, with a confirm-or-move prompt timed so you can still refill the slot
- WhatsApp reminders written to stay in Meta's utility category, so costs don't surprise you
- A clear policy, card on file, deposit or prepayment, chosen from your own data and worded so clients stay
- A waitlist routine for late gaps, same-day recovery messages, and a before-after test that shows whether each change worked
Lessons from calendar businesses we work with
Both projects appear in the toolkit and are written up on our site. They were about filling calendars, and the same rules help keep them full.
Weekly conversations from about 14 to a peak of 85
A swim school’s families book by WhatsApp, so every channel was built to end in a chat with the club, which is where reminders belong too.
Lowest cost per new member, $30, in month three
A premium gym let its sales team’s verdict on which chats became members steer the budget: a booking only pays once the client walks in.
Who gets the most from it
Made for you if
- You run a clinic or a dental, aesthetic or physiotherapy practice
- You run a salon, spa, barber, nail or lash studio
- You sell sessions or departures: gyms, trainers, tutors, coaches, consultants or tour operators
Probably not for you if
- You run a hospital system that needs clinical scheduling software and governance
- You run a restaurant: table no-shows work differently
- You serve walk-ins only, with no fixed appointment times
How to use it
Week 1: measure
Start the appointment log and write down your current messages and policy.
Week 2: booking and reminders
Rewrite your confirmation, then set the 48 to 72-hour confirm prompt and the 24-hour reminder.
Week 3: policy and refills
Choose a policy tone, decide on deposits and start a waitlist.
Week 4: the misses
Send recovery messages after every no-show, then run your first monthly review.
The message pack opens in Word, Google Docs and Pages. The tracker works in Excel 2010 or later, Google Sheets and Apple Numbers, with no macros.
What clinics, salons and studios ask before they download
What format are the files, and what do I need to open them?
The toolkit is a PDF that opens in any PDF reader. The message pack is a Word .docx that also opens in Google Docs and Pages. The tracker is an .xlsx with no macros that works in Excel 2010 or later, Google Sheets and Apple Numbers.
Who is it for?
Owners and front-desk or marketing staff at any business that sells time in a calendar: clinics, salons, gyms, tutors, consultants and tour operators. It isn't built for hospitals or restaurants.
Will it work with my booking software?
Yes, if your software can send a confirmation and scheduled reminders. The method and messages don't depend on any one tool, and where a feature such as two-way replies isn't available, the toolkit shows a manual workaround.
Does it cover WhatsApp's rules?
Yes. Chapter 5 covers opt-in, utility versus marketing templates, the 24-hour customer service window and per-message pricing, checked against Meta's developer documentation.
Is the research only from healthcare?
Mostly, because that's where no-shows have been studied in trials. The toolkit says where the evidence ends and practice begins, and how far each finding carries over to salons, gyms, tutoring and tours.
How do I receive it?
The download links appear on screen as soon as payment completes, and the same links arrive by email. They keep working, so you can download again later.
Keep the calendar you've already filled
